Property Assistant - McLean, VA

Reports to:      Property Manager(s)

Supports:         Property Managers and Technical Manager

 

General Description

The Property Assistant works with the Property Management team to support the day to day property management of the Liberty Crossing Campus. Responsibilities include written and verbal communication with tenants and vendors, managing site access and security monitor requirements, maintaining and organizing files and records, taking and distributing minutes for weekly meetings, and managing various contracts that support the property management office. 

Prerequisites

  • Bachelor’s or Associate’s degree (preferred).
  • 2+ years experience in administrative support position, preferably in property management, construction or related field.
  • Must be detailed oriented, organized, and possess strong computer skills.
  • Must possess or be willing to seek and obtain a Top Secret security clearance, including full scope polygraph.
  • Proficient with Microsoft Office Suite.

Typical Duties (this list is not intended to be all inclusive)

  • Perform duties that support the running of the on-site Liberty Crossing office, such as ordering of supplies, support for copiers and IT issues.
  • Assist the team with management of contract services, including coordination of activities of service contractors and vendors. Prepare and distribute contracts for signature and executed contracts for records.
  • Attend meetings and record minutes as needed including maintaining project status logs, issue tracking lists and monthly calendars.
  • Create purchase orders, process invoices and track payments in Nexus Payables.
  • Manage site access coordination, contractor deliveries and security monitor requirements.
  • Maintain emergency contact lists and vendor contact lists.
  • Manage inventory and maintenance of two way radios.
  • Assist with preparation and distribution of monthly financial statements and annual operating budgets.
  • Assist in planning and preparation for tenant retention activities. Create signage and marketing materials as needed.
  • Scan and file documents; maintain organization of Laserfiche and the L: drive.
  • Manage utility usage tracking.
  • Perform other administrative duties and special activities as assigned by the Property Managers.
