Marketing & Events Account Coordinator, National Harbor

Reports to: Director of Events & Business Development

General Description

As Marketing & Events Account Coordinator at National Harbor, you will assist in creating positive experiences for our clients, via event and sponsorship activation.  You will maintain structure and organization to client accounts to ensure long-term, trusting relationships with customers and will work with event clients and National Harbor sponsors on their programs that deliver value to corporations, individuals, partners and guests. You have a passion for personal interaction, events as a creative outlet and ensuring an experience at National Harbor that engages, motivates, and inspires.

In addition to strong communication skills, exemplary accounting skills and proven work experience in a relevant role, you are savvy in problem solving techniques and time management and can acknowledge and appreciate any client concerns arising throughout the process.  You are competent at producing client-focused solutions to customer needs and have proven ability to juggle multiple account management projects at a time, while maintaining sharp attention to detail.  Furthermore, given the nature of events, this role will require hours on weekends and nights during all seasons.  

Work Experience Requirements

  • 4-5 years of experience in client account management
  • Must be proficient in Microsoft Office Suite and accounting software (e.g. MRI, Nexus, Salesforce, Etc.)
  • Excellent listening, negotiation and presentation abilities
  • Strong verbal and written communication and interpersonal skills
  • Must possess aptitude in building relationships with professionals of all organization levels-      Demonstrate ability to communicate, present and influence clients at all levels of an organization
  • Must be able to work and thrive in a fast paced, dynamic environment under tight deadlines
  • Demonstrate ability to handle multiple projects simultaneously
  • Must be detail oriented and maintain organization in all aspects of your work
  • Experience in financial transaction management including but not limited to invoice reconciliation
  • Good math skills and the ability to spot numerical errors
  • Professional appearance in both demeanor and dress
  • Must have good command of the English language; oral and written
  • Ability to lift and move up to 25lbs
  • Withstand periods of walking and/or standing

Education Requirements

  • BA/BS Degree in Business Administration, Sales, Accounting or relevant field

Specific Duties

Account/Financial Management

  • Create contracts for event and sponsorship sales
  • Adjust contracting terms as necessary as needed
  • Produce necessary invoices for event and sponsorship sales
  • Code and process all marketing invoices and track all paperwork related to accounts payable system
  • Manage all event and sponsorship payment delinquencies to ensure reconciliation
  • Manage all vendor invoices, POs and payments

Event/Sponsorship Management

  • Assist with marketing, sales, logistical and operational planning of National Harbor Events
  • Attend administrative meetings as related to event planning process
  • Attend client meetings as related to event planning process
  • Work with clients post sales to ensure details of the events are confirmed and relayed to all necessary parties
  • Work with sponsorship sales partners to ensure seamless sponsor experiences
  • Hands-on assistance in a variety of logistics, including event coordination for both private and public events
  • Onsite event management including MOD weekends as assigned
